Answer

Can AI replace an IT helpdesk?

AI can replace a first-line helpdesk for most small businesses: password and MFA resets, Microsoft 365 and email problems, access and licensing, device diagnostics. It cannot replace physical work, on-site response, or accountable engineering for regulated systems. The honest split is roughly 80% of tickets, not 100%.

What first-line support actually consists of

Across small businesses, the great majority of tickets are a short list repeated endlessly: someone cannot sign in, MFA is on a phone they no longer own, email is going to spam, a file will not share, a licence needs assigning, a leaver still has access. These are pattern-matching problems with well-defined fixes and clear success criteria — precisely the shape of work an AI agent handles well and a human finds tedious.

Where AI is genuinely better than a human desk

Availability: it answers at 06:00 on a Sunday with the same quality as Tuesday mid-morning. Consistency: it does not have a bad day, a holiday, or a first week on the job. Memory: it holds the full history of every prior ticket for every user, which a rotating human desk structurally cannot. And cost: per-seat pricing at a fraction of a managed contract, because availability is not constrained by headcount.

Where it cannot replace people, and never claims to

Anything physical — hardware, cabling, on-site presence. Regulated environments needing a named accountable engineer under certifications we do not hold. Bespoke development. Genuinely novel, ambiguous, multi-system failures where the right move is judgement rather than procedure. Businesses with heavy on-premise infrastructure will find an AI-only desk covers a much smaller share of their work.

The practical answer for most SMEs

If your business runs on Microsoft 365 or Google Workspace, laptops and SaaS — which describes most companies of five to fifty people — an AI-only desk covers the overwhelming majority of what you would otherwise pay a managed service provider for, and you keep a local engineer on call for the occasional physical job. That combination is usually both cheaper and faster than a full managed contract.

Follow-on questions

Do I still need an MSP alongside AlwaysOnIT?

Only if you have on-premise servers, network hardware, or regular physical requirements. Many customers keep a local engineer available on an ad-hoc basis for hardware and use AlwaysOnIT for everything remote, which costs far less than a full managed contract.

What proportion of tickets does AI resolve unaided?

It depends heavily on your setup. Cloud-first businesses see the large majority of tickets resolved in chat; businesses with on-premise infrastructure see far fewer. Rather than quote a figure we cannot evidence for your environment, we publish exactly what is in and out of scope so you can estimate against your own ticket history.
