Comparison

AI IT support vs a traditional MSP

A managed service provider (MSP) sells a bundle: a helpdesk, proactive monitoring, patching, procurement, vendor management, project work and usually an account manager. AI-only IT support sells one thing — the helpdesk — and automates it. The two are not straight substitutes, which is why the honest comparison is about which parts of the bundle you actually consume.

The short answer

Choose AI IT support if the overwhelming majority of your IT tickets are software, account, email and Microsoft 365 problems, and you have no servers, no cabling and no hardware estate to manage. Choose a traditional MSP if you have on-premise infrastructure, need someone physically on site, buy and deploy hardware regularly, or need a named human accountable for a project roadmap. Many UK small businesses of 5–50 staff with an all-cloud Microsoft 365 setup fall into the first group and are paying MSP prices for a bundle they use perhaps a fifth of.

Choose AI IT support if

  • Your whole business runs in Microsoft 365 or Google Workspace with no on-premise server
  • Most tickets are passwords, MFA, email, licensing, permissions and Teams or SharePoint access
  • People need help outside 9–5 and currently just wait
  • You want a predictable per-user cost with no minimum term
  • Nobody in the business wants to be the accidental IT person any more

Choose Traditional MSP if

  • You run on-premise servers, a physical network, or line-of-business software with its own infrastructure
  • You buy, image and ship laptops regularly
  • You need someone to attend a site, run cabling or touch hardware
  • You operate in a regulated sector with audited supplier requirements
  • You want a named person accountable for a multi-year IT strategy

What it costs

The comparison people usually get wrong is per-ticket, not per-user. A 20-person business paying an MSP £60 per user per month spends £14,400 a year and often raises 15–25 tickets a month — roughly £48–£80 per ticket, most of which are password and Outlook issues. The same business on AI-only support at £4 per user pays £960 a year. That gap is real, but it is only a fair comparison if you were genuinely not using the rest of the MSP bundle. If your MSP is also patching servers, managing your firewall and replacing laptops, you are comparing two different products.

Where we're the wrong choice

An MSP is the better buy more often than AI-only vendors admit. If you have any on-premise infrastructure, an AI helpdesk cannot help you when the server room floods, the switch dies or the VPN concentrator fails — and those are exactly the incidents that stop a business trading. An MSP also absorbs work you may not see on a ticket list: firmware updates, backup verification, licence true-ups, supplier chasing. If you have ever needed someone to physically stand in your office, AI-only support is not a replacement, it is at best a layer underneath one.

Frequently asked questions

AI IT support vs Traditional MSP — common questions

Can AI IT support and an MSP work together?

Yes, and this is a common arrangement. The AI handles first-line volume — passwords, MFA, mailbox and licensing requests — and the MSP keeps infrastructure, hardware and projects. Businesses that do this usually renegotiate the MSP contract down to an infrastructure-only agreement, because they are no longer buying first-line helpdesk twice.

Is AI IT support cheaper than an MSP?

Per user, almost always: roughly £4–£15 per user per month against £45–£120 for a full managed service in the UK. But the price difference reflects a much narrower scope. It is cheaper in the same way a bicycle is cheaper than a van — only relevant if you were not using the van.

What happens when the AI cannot fix something an MSP would have fixed?

You get a written summary of what was tried, what the diagnosis is and what needs to happen next, so you can hand it to an internal person, a vendor or an MSP without repeating the diagnosis. There is no human engineer behind AlwaysOnIT to take it further — that limit is published rather than discovered at the worst moment.

Do MSPs also use AI now?

Many do, usually as an internal drafting aid for their technicians or as a chatbot in front of a human queue. That is different from an AI-only service: the cost base still includes the human team, so the price rarely falls. The useful question to ask an MSP is whether AI has changed their per-user price or only their internal margin.
